JOB DESCRIPTION: TREASURER FOR BACDS EVENTS With input from camp managers, etc, prepare a budget for the event. (Budgets should break even at or below 95% of capacity or last year's attendance, whichever is lower). There is a specified budget form for the event, and it should include columns for past budgeted and actual figures; if there is no existing previous budget for this event you can get a copy of the current from the BACDS Treasurer. At least a week prior to the Board meeting at which the budget will be presented, get the budget to the BACDS Treasurer (Diane Zingale, diane@abcstuff.com) - by email as an Excel spreadsheet is fine - and it will get distributed to the Finance Committee who will look at it for obvious errors, dubious assumptions, etc. Treasurer may need to produce revisions. A budget should be submitted in time for review at a board meeting at least 6 months prior to the event. (This generally means having the budget ready at least a week before the board meeting so that the Finance Committee has time to consider whether or not to recommend it for approval.) The event Treasurer issues check requests to the BACDS Treasurer so that checks can be written to cover expenses; the check requests include what category of expense the check should be assigned to, and the BACDS Treasurer will note the codes in Quicken. In some cases, the Treasurer also manages deposits, but in most events the Registrar manages deposits (but communicates with Treasurer so the Treasurer knows the financial status). The Treasurer should also keep track of expenses on an ongoing basis and be able to tell the managers when they're going over budget. After camp, the event Treasurer can get a Quicken listing from the BACDS Treasurer, check vs. his or her own records of expenses, make sure things are categorized correctly and that all expenses are included and none are miscoded, and prepare a final report showing budgeted and actual amounts for income and expenses (again, according to a particular template in an Excel spreadsheet). This should happen within 30-60 days of the event.
