JOB DESCRIPTION: REGISTRAR FOR BACDS EVENTS The Registrar receives registration forms and fees by mail, or (increasingly) receives forms by email and keeps track of which checks are outstanding. The Registrar should promptly acknowledge receipt of registrations - email is generally sufficient. The Registrar is the contact point for cancellations and is responsible for requesting refund checks, generally via the event Treasurer. (Registrars are obliged to handle cancellation requests in a timely way, including acknowledgment to the person cancelling and getting out refund checks, which should be sent within a week of knowing that they're necessary (eg, within a week of a cancellation that fits the cancellation policy.) In detail: Get deposit slips and a deposit stamp from the BACDS Treasurer. Deposit checks received within a week. Keep a separate log of what checks (check number, originator, amount) were in each deposit, so that it can be reconstructed if the deposit is lost in the mail. When deposits are made (either by mail or in person), notify the event Treasurer and the BACDS Treasurer within 2 days, by email (preferred), phone, or fax, of the amount and the number on the deposit slip (so the BACDS Treasurer can track whether the deposit gets recorded by the bank, and credit the deposit to your event when it comes in). (Some events may choose to have the event Treasurer do all of this, but it must in any case all get done.) The Registrar will also necessarily be a public info contact, like it or not. (because contact info has to be published for registrations to get sent to the registrar, and because registrar can answer "is there still space" and "did you get my registration" questions). So the registrar has to return phone calls and emails fairly quickly, and it helps to be agreeable and welcoming.
