Information for Registered Campers

We're excited that you are joining us for BACDS American Week camp this July! Now that you've registered, here's what you need to do before camp:

Payment

Thank you to those campers who have already paid their account in full. Final payment is due NO LATER than June 15, or we may give your spot to someone on the waiting list. Don't let this happen to you! Mail your check to arrive before June 15, payable to BACDS (in US dollars drawn on a US bank) to:

If you have linked a PayPal account to your bank account, you can use the “transfer funds to a friend” option to pay your AmWeek balance without an additional charge. Use
bacds-treasurer@bacds.org as the friend’s email address. Please do not use a credit card to pay via PayPal, as that adds an additional fee for us to cover. Contact us if you want assistance with online payment.

Waiver/Release Form

Your signed Waiver and Release form is required by the YMCA. Print, sign, and mail or email it to the Registrar at least one week before camp. If you can’t print this PDF, please email the Managers for a printed copy to be mailed to you. If you have not signed and submitted this form, the YMCA will not allow you into camp. The YMCA requires a new waiver each year, so even if you attended in a previous year a new waiver is required this year. Please note that smoking and alcohol are prohibited on the YMCA grounds.

Camper Chores

In keeping with the community-building character of AmWeek, all campers are expected to contribute by performing light daily chores. Please select a camp chore now using this SignUp Genius website, so that we can know ahead of time that all tasks are covered. Thanks!

Getting to Camp

Camp opens Sunday, July 1, 2018, with registration starting at 3:00 outside Randolph Lodge. Plan to arrive after 3:00 pm but early enough to settle in to your cabin while it is light. Sliding scale and scholarship campers, please arrive at camp by 1:00 so you can help setting up camp. Dinner is served at 5:30, dancing begins at 7:15, and camp staff will share class descriptions during the dance break around 9:00 on Sunday.

Driving time is approximately 1 hour from San Francisco and the Peninsula. Driving directions are simple, but expect winding roads through the woods. Print the directions before you leave; you can expect your GPS to stop working out here! Find a carpool with fellow campers by emailing the registered camper list (at the address which was sent to you with your confirmation) with your request or offer. When you were confirmed for camp, you were automatically added to the list to receive email announcements about camp. While at camp, please leave your car parked and walk along the roads or foot paths from your cabin or camp site to the Dining and Dance Halls, the toilets and showers, and the Meadow.

What to Bring to Camp?

Check the online Camp Gear List. Bring your own mug and water bottle to cut down on waste. The camp will not provide disposable cups. There is some wonderful hiking in the area, so bring hiking shoes.

Expect daytime highs in the upper 60s to mid 70s and nighttime lows in the low 50s or even upper 40s. There may be suspended fog droplets that some people might call drizzle. Bring layers so that you can adjust to changing conditions, and check the 10-day forecast.

What’s on the Menu?

We will be served three healthy, all-you-can-eat meals each day, from dinner on Sunday through lunch on Friday. Fruit for snacking will be available throughout the day in the Dining Hall, and we will provide snacks at the dance break each evening. The vegetarian menu is vegan. This sample menu will give you an idea of what to expect.

If you have dietary restrictions involving medical food allergies that you did not include on your registration form, please contact the Camp Managers immediately. We will have an limited assortment of gluten-free items available for campers who indicated a gluten intolerance on their registration. We apologize if personal preferences cannot be accommodated.

If you must bring your own supplementary food to meet your needs, note that there is no refrigerator space available for campers, and the YMCA camp cannot provide ice. If you have food that requires an ice chest, you need to bring your own cooler. Bagged (not block) ice is available 15 minutes away at the La Honda Market, open 7am to 8pm. Also be aware that raccoons are extremely clever at breaking into your food stash. Store food in your car, not your cabin.

Daily Schedule

Printed schedules and maps of camp will be provided at check in and posted around camp.

Emergency Contact and WiFi

There is no cell phone coverage at camp. In an emergency, a message can be left for you at 1-650-419-6003. AmWeek managers will check for messages frequently. During the day, the YMCA camp office staff can be contacted at 650-747-1200. After hours, that number will reach the YMCA Camp Manager on duty.

There is a pay phone outside Randolph Lodge for outgoing calls. Rates are expensive; for non-emergency calls, connect over WiFi or drive to the top of a hill where your cell phone can get coverage. WiFi is available near the YMCA Camp Office, about 5 minutes walk from our part of camp.

End of Camp: The Dancing Continues...

On Friday, campers must vacate the cabins before lunch. Our time at Jones Gulch closes with an afternoon dance party from 1:30-3pm. Everyone MUST be out of camp by 4pm as the YMCA has another group coming in. Sliding scale and scholarship campers are expected to help pack up camp, and we’d love help from anyone else willing to pitch in. Then we’ll head down the hill to Palo Alto for dinner on your own, followed by the gala Post-Camp Contra Dance at the First United Methodist Church 625 Hamilton Ave from 8-11pm.

Many of our camp staff will be playing or calling at nearby dances before and after camp. Plan to arrive early and/or stay in the Bay Area after camp to meet our extended dance community who couldn't join us at camp!

Important Deadlines:

June 14: Information Needed Dietary Restrictions and Food Allergies

Please call or email the AmWeek Manager NO LATER THAN June 14 so we can inform the camp kitchen of your medical needs.

June 15: Payment of any remaining Balance Due

June 23: Signed Waiver and Release form [PDF]

A new waiver is required by the YMCA every year. Print it, sign it, and mail it or email a scanned image of the signed form to the Registrar no later than June 23. If you are unable to print this PDF file, you'll need to sign one upon arrival at camp. If you have not signed and submitted this form the YMCA will not allow you into camp.

July 1: Camp Begins!

  • Sliding Scale Campers: arrive at camp by 1:00pm on Sunday 7/1 to help set up camp
    NOTE: other campers may not enter camp before 3:00pm If you're on site before 3:00pm, you'll be put to work setting up camp, and you may not carry in your own gear until after 3:00pm.
  • ALL CAMPERS: arrive at camp mid-afternoon between 3:00–4:00pm on Sunday 7/1 to check in; dinner is at 5:30pm
